Check the quote against the current published VSA contract documents and complete your agency's normal internal approvals.

Step 4

Issue the Purchase Order

Issue the PO directly to East Coast Truck & Trailer Sales, referencing the VSA contract and item number.

Does our agency need to register with VSA or pay a fee?

No. VSA membership and buyer registration are not required, and VSA does not charge purchasing agencies a registration fee.

Can agencies outside Virginia use this contract?

Yes, where cooperative purchasing is permitted. The program may be used by public bodies in Virginia and by other public agencies nationwide. Your agency remains responsible for its own purchasing policies, approvals and applicable laws.

Is the published contract price the price we will pay?

Published contract pricing is the ceiling, subject to the controlling contract documents. ECTTS may quote a lower price but cannot exceed what the contract permits.

Can we add options or change the model?

Yes, within the awarded scope. Options, upgrades, downgrades and catalog-discount items must stay within the awarded scope and be priced as authorized by the applicable award and contract documents.

What should a contract-based quote include?

The agency, VSA contract number, awarded item, manufacturer and model, base price, options and deletions, discounts, delivery terms, warranty and total price.

Who is responsible for delivery and warranty?

ECTTS, as the awarded contractor, is responsible for contract performance, including delivery obligations, required documentation and warranty support.

Can contract details change during the term?

Only through the formal VSA contract-revision process. Confirm current information against the official VSA contract documents before ordering.
